Location: Miami, FL
Compensation: $16.00 - $17.00 per hour
Work Requirements: US Citizen, GC Holders or Authorized to Work in the US

Qualifications:
  • 3 Years in past Administrative Assistant role
  • Possess knowledge of office related-management principles procedures and techniques.
  • Ability to work in a fast pace environment and adapt quickly in order to meet dead lines.
  • Ability to schedule meetings and manage time travel constraints.
  • Ability to develop and maintain cooperative working relationships with supervisors and staff.
  • Ability to follow–up on decisions and directives from the Project Manager.
  • Ability to supervise and/or maintain essential records and files.
  • Able to read and write in Spanish. Large Corporate or Multinational experience is a plus
  • Possess strong knowledge of MS Office, including Word, Project, Excel, PowerPoint, File Maker and Outlook
  • Must be able to remain in a stationary position at a desk and/or computer for extended periods of time

Education:
Associates Degree Major in Business

Responsibilities:
  • Schedule & manage travel arrangements with corporate travels automated system.
  • Maintain follow up procedures in order to comply with corporate travel policy.
  • Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings both at our corporate office and offsite.
  • Compile and track expense reports
  • Manage and organize all documents in the companies/departments file management system in order to comply with mandated record retention policy.
  • Communicate and manage incoming and outgoing electronic communications.
  • This includes prioritizing responses, synchronizing invitations with calendar and making sure the size of the mail box is in compliance with our internal systems administrator.
  • Answer and direct all incoming calls to appropriate party promptly and efficiently.
  • Receive and process purchase orders from the various corporate ports.
  • Coordinate delivery of the merchandise with internal or external shipping sources as well as local customs agents making sure that the goods arrive in a timely manner.
  • Review and summarize miscellaneous reports and documents, prepare background documents and outgoing mail as necessary.
  • Manage the standards, procedures and practices of record-keeping of all departmental documents.
